In a first in the country the Kerala Agricultural University (KAU) adopted the comprehensive-e Governance module, after the launch of a University Suite developed in association with National Informatics Centre (NIC).The module comprises of several sub modules like electronic file flow, Academic Management System and HR and Pay Roll system.
“We have already iplemented Financial Accounting System, Pension Administration System, Legal Administration System, Sales Administration and Information Management and Online Research Management Information System as part of our Enterprise Resource Planning (ERP) project. With the launching of University Suite, all our activities will be e-Governed, which would help in better coordination and implementation of programmes”, said registrar P V Balachandran.
The key sub module in the suite is the electronic file flow module which virtually transforms the university office to a paperless system, processing all files without any paper movement. It also enables officers to identify the status and point of action of a file and access the file even while on journey. Moreover, even if an officer is on leave, the higher authority can retrieve the file and take immediate decision. The other sub module of the University Suite is HR and Payroll, which enables centralised disbursement of salary and allied activities with regard to personnel in KAU stations spread over the state. Academic Management System (AMS), meant for the academic activities and its management, helps students to pay the fee through Internet banking and even view their academic performance.
External agency can verify the authenticity of the certificate issued by the university through AMS. According to M Viswanathan Nair, system manager, who heads the IT team under centre for e-Governance managing University Suite and ERP, the specialty of ERP architecture enables all these modules to work independently and simultaneously, combine and integrate with other modules to get comprehensive information suitable for decision making.
After launching the project, KAU VC P Rajendran said, “the launching of University Suite is a milestone in the history of KAU. Keeping pace with technology only will sustain success of human efforts. Electronic management tools enhance efficiency of administration and ensure satisfaction of stakeholders. Adoption of futuristic technology will lead to a bright future and the appreciation for e-Governance initiatives of KAU is evident from the awards earned by e-Learning centre of the university”.
